The 3 Best Tools in Our Tech Stack
Our app sprawl is incredible, but these three tools are clear winners.

Today’s issue takes less than 5 minutes to read.
Today I’m going to tell you my three favorite tech tools we use in our firm.
We use an incredible amount of technology in our firm so narrowing it down to my top three was challenging. My general approach to bolting on additional tools is that it must either be the best at what it does or flexible enough that we can mold it to our operating methodology.
With that, I present my three favorite tools:
First Place: ClickUp
If you’ve been following me for a while, this should come at no surprise.
ClickUp revolutionized our firm from a data transparency perspective. I tried many accounting-specific CRMs and project management platforms and ClickUp takes the cake both in functionality and price.
With ClickUp’s dashboards, we are able to peer into every dark corner of our firm. We track project metrics like time in status and days overdue at scale. We also use ClickUp for our Sales CRM and customer NPS surveys.
And compared to other similar software, it’s cheap at ~$28/mo/user.
An underrated feature about ClickUp is the flexibility it offers us. It will scale well as our firm continues to grow.
Second Place: Fathom Video
We have been using Fathom Video now for over a year.
Fathom is a AI recorder that follows you around Zoom and MS Team calls. It gives you indicators during the call as to when you are monologuing too much and your talk time compared to others on the call.
Fathom has made context transfer in our firm very easy.
We previously had the problem of sharing context about a client between teams but Fathom makes that a breeze. Fathom will give you an AI notes summary of the call and the coolest feature is the summary is hyperlinked with 1-2 minute video clips of specific portions of the call.
We no longer have to watch an entire video to find the tiny sliver of context we are looking for.
Third Place: Front App
The number one reason clients leave their CPA:
Bad communication.
Since the beginning of time, my rule at the firm has been 24-48 hour response time (24 hours is perfect service, 48 is the expectation).
But tracking compliance to that rule proved challenging.
Front App enables us to monitor email response times at scale with the analytics features it offers. Additionally, Front App makes “looping people in” an absolute breeze. We can tag team members in emails, or just “share” with them, and communicate behind the scenes.
Front App also offers an email sequence feature enabling you to mass email, but make it seem personalized, and follow-up Automatically until the client replies.
We also set up “team” inboxes, such as “contact@hallcpa,” for various divisions and service lines at our firm. This enables the team to coordinate with each other effectively when we are running proposals, sales, and general customer support.
